We are seeking 3 proactive and detail-oriented Administrative Assistant / Executive Assistant to support 3 executives in different industries. These role are ideal for someone who thrives in a fast-paced environment, communicates effectively, and has excellent organizational skills.
You’ll be instrumental in ensuring smooth day-to-day operations and will play a key role in keeping communications and tasks on track.
Key Responsibilities:
- Manage and monitor the Executive’s email account: flag important messages, draft responses, and ensure timely replies.
- Write professional and clear emails on behalf of the Executive.
- Respond to text messages and manage real-time communication with team members.
- Follow up with internal team members on assigned tasks and deadlines.
- Schedule meetings, manage calendars, and assist with time-sensitive coordination.
- Maintain organized digital files and records.
- Prepare simple reports, meeting notes, and documentation as needed.
- Assist with project coordination and ensure deliverables are on track.
SIDE NOTE: We are looking for 3 experienced Executive Assistants. One should have some Financial background, another one Project Management experience and another one that knows how to do video editing. 2+ years experience is a MUST.
- 2+ years of experience as ExA or related roles. If you can not demonstrate this experience, we wont be able to move forward with your application.
- Fluent English – excellent verbal and written communication skills are a must.
- Highly organized, detail-oriented, and efficient.
- Comfortable managing multiple communication channels (email, text, etc.).
- Strong follow-up skills and a sense of urgency.
- Tech-savvy and quick to learn new tools and systems (Google Workspace, Zoom, Slack, etc.). CANVA is a must and ASANA is a plus.
- Ability to work independently with minimal supervision.
