Position: Operations Administrator

Location: Remote (Philippines)

Job Type: Full-time

Work Schedule: 9:00 am- 5:00 pm (Pacific Standard Time)

Base Salary: Php 40,000 per month


Role Overview:

We’re looking for an Operations Administrator to join our team. In this role, you’ll play a key role in data acquisition, partner coordination, and ensuring operational workflows are completed without falling through the cracks. Your ability to follow up relentlessly, communicate clearly, and drive tasks to completion will make you a critical part of our execution team. This role is ideal for someone who thrives in a fast-paced environment, is highly adaptable, and enjoys wearing multiple hats across operations, data, and admin support.


Key Responsibilities:

  • Support the operations team with a variety of administrative and logistical tasks
  • Own communications with clients, suppliers, partners, and external agencies — follow up patiently and persistently until the job gets done
  • Conduct web-based research and assist in data acquisition efforts:
  • Identifying, documenting, and organizing data sources across various platforms
  • Keeping track of each source's status, accessibility, and reliability over time
  • Performing consistent follow-ups to ensure timely updates or missing data retrieval
  • Verifying and maintaining the accuracy, consistency, and completeness of acquired data
  • Track down missing or incomplete information and ensure data quality is maintained
  • Assist with customer support (tickets, emails, phone calls as needed)
  • Organize and maintain documentation for recurring workflows and business processes
  • Handle invoicing, billing, and financial record-keeping
  • Help streamline and improve operational workflows over time
  • Take ownership of delegated tasks and see them through to completion
  • Take on additional responsibilities across departments as needed

  • 3+ years in an administrative or operations role (preferably supporting North American or UK clients)
  • Excellent communication skills and professional follow-up etiquette
  • Naturally persistent, detail-focused, and outcome-driven
  • Strong organizational and coordination skills—you’re the kind of person who follows up until the loose ends are tied
  • Comfortable communicating with external stakeholders and navigating delays with patience and confidence
  • Comfortable juggling multiple priorities and shifting between responsibilities as needed
  • Technically savvy and comfortable learning new software quickly
  • A strong eye for accuracy and quality, especially when working with data or documents
  • Fully committed to the role (no other side jobs) and available to work during U.S. business hours
