We are seeking a dependable and detail-oriented Admin & Finance Virtual Assistant to support daily operations, with a primary focus on bookkeeping, financial tracking, and customer coordination, along with secondary support in social media and online presence.


This role is best suited for someone who is strong with numbers and organization, while also being comfortable handling customer inquiries and light marketing tasks. The goal is to keep operations running smoothly, maintain accurate financial records, and ensure a consistent and professional customer experience.


Core Responsibilities (Primary Focus)

1. Bookkeeping & Financial Support

  • Maintain accurate and up-to-date bookkeeping records
  • Perform bank and account reconciliations
  • Prepare weekly and monthly financial reports
  • Track expenses, revenue, and cash flow
  • Identify and flag discrepancies for review
  • Support overall financial organization and reporting

2. Administrative & Customer Coordination

  • Manage and respond to restaurant reservations, catering inquiries, and private event bookings through the company’s proprietary platform
  • Ensure timely, professional, and friendly communication with customers
  • Maintain organized booking records and schedules
  • Assist with general administrative tasks to support daily operations

Secondary Responsibilities (Support Role)

3. Social Media & Online Presence

  • Create and schedule organic social media posts
  • Monitor messages, comments, and basic engagement
  • Maintain consistency in posting and brand voice

4. Reviews & Customer Feedback

  • Monitor and respond to customer reviews (Google, Yelp, social media, etc.)
  • Track recurring feedback and customer sentiment
  • Provide simple summaries of insights to management


Additional Responsibilities (Value-Add)

  • Track basic social media and business performance metrics
  • Highlight trends or observations (e.g., busy periods, popular services, engagement patterns)
  • Stay updated on social media trends and suggest ideas when relevant
  • Support ad hoc tasks as needed by the client


Qualifications

  • Proven experience in bookkeeping and financial reporting
  • Strong attention to detail and organization
  • Excellent written and verbal English communication skills
  • Experience in customer service or administrative coordination
  • Basic experience with social media management
  • Ability to prioritize tasks and manage time effectively
  • Proactive, reliable, and solution-oriented
